This Privacy Policy describes how Inception Software LLP (“we”, “us”, “our”) collects, uses, stores, and protects information when you use the Ultimate eSign application (the “App”) on the monday.com platform. By installing or using the App, you agree to this Policy.

2. What the App does

Ultimate eSign connects your monday.com account with Adobe Sign so you can send documents for electronic signature directly from monday.com items and boards, track their status, and store signed documents back on your board.

3. Information we collect

We collect only what is necessary to provide the App’s functionality:

• monday.com account & user identifiers — your monday account ID and user ID, obtained from the signed monday session token, used to identify your account and authorize requests.
• Authentication tokens — OAuth access/refresh tokens for monday.com and Adobe Sign, used to perform the actions you request on your behalf.
• Email address — the email associated with your connected Adobe Sign account and signer/recipient email addresses you choose to send documents to.
• Document & board metadata — item IDs, board/column references, template names, recipient details, and document/agreement status needed to send documents and update your board.
• Usage counters — the number of documents you have sent, used to enforce your subscription plan limits.

We do not collect payment card details (billing is handled by monday.com), and we do not sell your data or use it for advertising.

4. How we use information

We use the information solely to:

• Authenticate and authorize your requests;
• Send documents for signature via Adobe Sign and retrieve their status;
• Update your monday.com items/boards (status, agreement ID, signed file);
• Enforce your subscription plan limits;
• Provide support and maintain the security and reliability of the App.

5. Third-party services

The App shares data only with services required to deliver its functionality:

• monday.com — the platform the App runs on (your boards, items, and columns).
• Adobe Sign (Adobe Inc.) — to create and manage e-signature agreements. Documents and recipient information you choose to send are transmitted to Adobe Sign for processing under Adobe’s own privacy terms.

We do not send your data to any other third parties.

6. Data storage and security

• All OAuth tokens and email addresses are encrypted at rest using AES-256 before storage.
• Data is stored using monday.com’s secure storage infrastructure.
• All data in transit is protected with HTTPS/TLS, with HSTS enforced.
• Access is restricted to the authenticated account; every request is verified using monday’s signed session token, so one account cannot access another’s data.
• Secrets and encryption keys are never stored in client-side code or public repositories.

7. Data retention and deletion

• We retain your data only as long as the App is installed and you use it.
• When you uninstall the App, your personal data (authentication tokens and email) is deleted, and all remaining End User Data is permanently deleted within 10 days of uninstallation, in line with monday.com’s marketplace requirements.
• You may request deletion of your data at any time by contacting us at support@inceptionsoftware.org.

8. Your rights (GDPR / CCPA)

Depending on your location, you have the right to access, correct, export, or delete your personal data, and to withdraw consent. To exercise these rights, contact us at support@inceptionsoftware.org . We will respond within the timeframe required by applicable law.

9. International data transfers

Data may be processed in countries other than your own. Where required, we rely on appropriate safeguards for such transfers.

10. Children’s privacy

The App is intended for business use and is not directed at individuals under 16. We do not knowingly collect data from children.

11. Changes to this Policy

We may update this Policy from time to time. Material changes will be reflected by updating the “Last updated” date on this page.
